Apply today! Serves as a Whatcom Homeless Service Center (WHSC) program assistant/office administrator, ensuring people have what they need to do their work, and providing behind the scenes support, including tracking and coordinating activities.
ESSENTIAL FUNCTIONS/
Responsibilities:
Enters and audits client intake information for Coordinated Entry system.
Generates Purchase Orders, provides coding, maintains accurate Fiscal updates and supports Fiscal department collaboration.
Procures and manages department office supplies as needed.
Provides administrative support as needed for WHSC staff including but not limited to scheduling meetings, vehicles, travel and other requests as needed.
Tracks and submits department and/or agency Maintenance requests as needed Supports SSVF program as needed including review data entry for accuracy and may complete reporting and/or payment reconciliating as needed Assists in program and/or system enhancement and creation as needed including assisting with updating policies and procedures.
Provides staff support for interagency meetings (e.
g.
Homeless Coalition and its Steering Committee as well as Coordinated Entry partner meetings) Supports training practices by department and agency staff as needed including coordinating trainings, ordering training supplies, and/or tracking and maintaining certifications.
Main point of contact for communication in many department areas as listed above May support Coordinated Entry team practices and systems including communication with the public and/or processing documentation as needed.

EDUCATION/EXPERIENCE REQUIREMENTS:
Experience with databases or spreadsheets (e.
g.
Filemaker, Excel) required.
Data processing.
Experience working with people who are living at poverty level incomes and/or are disabled.
General office experience preferred.
SKILLS AND ABILITIES REQUIRED:
Specialized knowledge of computers, systems and software, including a thorough knowledge of the Windows operating system, Microsoft Office suite (especially Excel, and Word), database programs (such as Filemaker).
Communications skills.
Ability to maintain confidential information.
Ability to efficiently review detailed data reports to identify and correct errors.
Ability to interact with clients and co-workers in a respectful way.
Time management and organizational skills.
Ability to work successfully within a team and independently.
